The steps involved in this important initiative include the following:
- Preparation of a needs assessment, or RFP (request for proposal) for the practice or organization to send to selected vendors
- Education of staff and providers about the components, impact, and results of implementing an electronic record
- Identification of a team to represent each area of the practice or organization that will use or be affected by the use of an electronic record
- Selection of vendors to provide on-site demonstrations to the team
- Coordination and facilitation of vendor demonstrations
- Preparation of a comparison sheet to review products and identify questions
- Meeting with the team to discuss products and begin the selection process
- Assistance and support to the team in making a final decision
- Contract negotiation with the selected vendor
- Identification of an implementation team
- Facilitation/liaison with the vendor on establishing an implementation timetable and work plan
- Facilitation/documentation of meetings with implementation team to discuss necessary process redesign and prepare all staff for implementation
- Work with vendor, clinicians, implementation team and staff to make process redesign changes and support effective implementation process
- Troubleshooting, problem solving, and continuing education for all staff during the implementation process
- Support acceptance testing and final implementation steps
